When growing technology organizations expand their workplace infrastructure, consistency and usability become critical. Grid Dynamics engaged Allwave AV Systems to design and implement a structured AV and unified communications environment at their corporate office in Chennai, located at Embassy Splendid Tech Zone.

Grid Dynamics required a standardized AV infrastructure for their new office at Embassy Splendid Tech Zone in Chennai. The objective was to create a collaboration-ready workplace where every space, from small meeting rooms to larger discussion areas, could support seamless presentations, hybrid meetings and effective internal communication. To achieve this, Allwave AV Systems designed and deployed a scalable AV ecosystem across multiple areas of the office, including 4-pax and 6-pax meeting rooms, an 18-pax boardroom, the GM cabin, the reception area and the cafeteria. 

Instead of installing separate AV setups for each room, the focus was on building a standardized AV architecture across the workspace. This approach ensured a consistent user experience in every room, simplified system management for the IT team, reduced troubleshooting challenges and provided the flexibility to scale the AV infrastructure as the organization grows.

Business Challenges:


While the overall AV deployment was designed to support flexible collaboration and ease of use, a few operational and technical challenges needed to be addressed during implementation.

In the cafeteria collaboration space, the BYOD video conferencing setup initially required multiple cable connections for users to connect their laptops to the room’s AV system. This created a slightly complex user workflow, particularly in a shared environment where quick and simple connectivity is essential. To streamline the experience and reduce connection steps, Allwave recommended integrating a docking station. This approach consolidates video, audio and USB connectivity into a single interface, allowing users to connect their devices more efficiently while maintaining reliable access to the room’s conferencing camera, microphones and display.

In the boardroom, a technical compatibility issue was identified during testing of the auto-tracking camera system. When the conferencing system was connected to a Mac laptop powered by an Apple Silicon (M-series) chipset, the auto-tracking functionality was not operating as expected. Based on guidance from the Logitech support team, the feature requires the Logitech Sync application to be installed on the host Mac device. However, the installation could not be completed because the application currently does not support Apple Silicon-based Mac systems. This compatibility limitation has been escalated to the Logitech engineering team and is currently under review for future software support.

Addressing these challenges required both technical troubleshooting and workflow optimization to ensure the deployed AV solutions, meeting room systems and video conferencing infrastructure deliver a smooth and reliable collaboration experience for end users.

The client required a reliable AV solution that could support both local presentations and remote collaboration without introducing operational complexity.

Users needed a simple method to connect laptops for presentations without navigating complex control systems or switching inputs.

Meeting rooms needed to support multiple collaboration platforms such as Microsoft Teams and Zoom without locking the organization into a single vendor ecosystem.

3. Enterprise-Grade Visual Communication

The reception and cafeteria areas required professional digital signage to deliver company announcements, internal messaging and brand communication.

4. High-Quality Audio in Larger Spaces

Rooms such as the boardroom and cafeteria required even audio distribution, clear speech pickup and wireless microphone flexibility.

5. Clean AV Infrastructure

The installation had to comply with corporate interior standards, requiring concealed cabling, structured connectivity and clean device integration. Without a well-designed AV architecture, the organization risked meeting delays, inconsistent room experiences and increased dependency on IT teams for troubleshooting.

  • For the 4-pax meeting room and GM cabin, a direct HDMI-based presentation solution was implemented. The focus was reliability and simplicity.
  • Users can connect their laptops instantly and present without navigating complex control panels. This eliminated common issues such as input switching confusion and signal detection delays.
  • The result is faster meeting start times and minimal technical disruption.

6-Pax Room, Boardroom & Cafeteria – BYOD Video Conferencing

Collaborative spaces were designed around a BYOD (Bring Your Own Device) model. Instead of fixed-room software, users connect their laptops to enterprise-grade AV hardware and run meetings via their preferred video conferencing platforms.

The architecture included the following:

  • AI-enabled and PTZ video conferencing cameras
  • Distributed audio systems for even coverage
  • Wireless microphone systems for flexibility
  • Structured signal routing and clean connectivity

This approach ensures flexibility for hybrid meetings while allowing IT teams to maintain infrastructure-level control.

Professional Audio System Integration

Clear audio is critical for effective hybrid collaboration, and in larger spaces like the boardroom and cafeteria, a single speaker unit simply isn’t enough. These rooms required a distributed audio architecture — one where the system distributes sound across the full space rather than projecting it from a single point.

The deployed system included:

Reception & Cafeteria – Integrated Digital Signage

  • To improve internal communication and strengthen brand presence, Allwave deployed digital signage displays across the reception and cafeteria zones.
  • Samsung MagicInfo powers the system, enabling centralised content scheduling and remote management.
  • Announcements, leadership messages, company updates, and brand visuals can now be managed efficiently without manual intervention.
