AllWave AV Systems upgraded an existing executive boardroom of a leading global technology company in Goregaon, Mumbai, into a modern Zoom Rooms collaboration environment. The project involved the design and integration of a complete boardroom AV system, combining video conferencing, AV-over-IP content distribution, professional audio, displays and room control.

The solution brought together Poly video conferencing, Shure ceiling microphone arrays, Biamp DSP processing, Extron NAV AV-over-IP distribution and Extron room control. AllWave also engineered a custom microphone-driven camera preset solution to provide speaker-following functionality using the existing Poly Studio E60 camera.

The client required a modern boardroom AV environment that could integrate seamlessly with its Zoom Rooms workflow while providing reliable audio, video, presentation and room-control capabilities.

Business Challenges

Upgrade the existing executive boardroom AV system while minimizing disruption to daily operations.

Develop an AV-over-IP architecture capable of supporting multiple presentation sources with centralized management.

Provide consistent voice pickup across the large oval conference table using ceiling microphone arrays.

Meet the requirement for automatic speaker-following functionality even though the specified Poly Studio E60 camera did not have native voice-tracking capability.

Reduce unwanted ambient and notification sounds being transmitted to remote participants during commissioning.

Solutions

Designed and commissioned a complete boardroom AV solution using Extron NAV AV-over-IP technology for centralized routing and management.

Integrated three Shure MXA920 ceiling microphone arrays with a Biamp TesiraFORTÉ X1600 DSP for echo cancellation, automixing and audio optimization.

Developed custom room-control programming using an Extron IPCP Pro control processor and TLP Pro touch panel.

Engineered a microphone-lobe-based camera preset system that used Shure microphone activity to trigger predefined Poly camera positions, effectively simulating speaker tracking without replacing the existing camera hardware.

Optimized DSP gain structure, microphone sensitivity and automixer parameters to minimize unwanted ambient sound pickup while maintaining clear speech intelligibility.

Scope of work:

The project covered a complete boardroom AV upgrade, integrating video conferencing, AV-over-IP content distribution, professional audio, displays, room control, wired BYOD connectivity and supporting infrastructure. The solution included a Poly G7500 video conferencing codec with a Poly Studio E60 4K PTZ camera and two Samsung 85-inch professional displays. The AV distribution system comprised seven Extron NAV encoders, three NAV decoders and an Extron NAVigator management platform.

The audio system featured three Shure MXA920 ceiling array microphones, a Biamp TesiraFORTÉ X1600 DSP, a Helvia ZEUS amplifier and six Extron SI26CT ceiling loudspeakers. For room automation and control, AllWave integrated an Extron IPCP Pro control processor with a TLP Pro 1025T touch panel, along with six table cable cubbies for wired BYOD connectivity. The scope also included structured raceway, conduit, power and data infrastructure, followed by system integration, programming, commissioning, testing, ATP and client acceptance.
