The client is one of India’s most respected pharmaceutical organisations, with a strong commercial and research presence across the country. Their Mumbai office is the central hub for leadership collaboration, client engagement, large-format corporate events and day-to-day internal communication.
As the client scaled its hybrid workforce model post-pandemic, the need for a reliable, professional AV setup became a business priority not just an IT task. The existing infrastructure was fragmented and outdated and it simply could not support the kind of high-quality collaboration that a global pharmaceutical leader demands. Leadership calls were unreliable, the auditorium lacked proper event infrastructure and there was no unified system across spaces.
Allwave was brought in to change that. The scope covered three key spaces the auditorium, the meeting rooms and the reception area along with full system integration, testing and commissioning. The project was completed within a two-month timeline, on budget and without any disruption to the client’s ongoing office operations. Auditorium — Zoom Room & LED Wall
The auditorium was the most technically complex space. Allwave designed and installed a full Zoom Room setup, powered by a Logitech Roommate compute appliance, a dedicated device that keeps the system fast and consistent, without relying on a shared office PC. A high-brightness LG LED wall was installed as the main display, delivering large-format, vivid imagery for both presentations and live video feeds. The entire system runs on single-touch operation, making it simple for any staff member to use.
Reception — Digital Signage
The reception now has a purpose-built digital signage system using Samsung commercial displays driven by BrightSign media players, a combination widely trusted in the AV industry for reliability and content flexibility. The communications team can update announcements, brand messaging and event schedules directly, with no IT involvement required.
Meeting Rooms — Hybrid Collaboration
Every meeting room now runs a consistent, high-quality AV setup Samsung displays, AVer PTZ cameras and Shure conference microphones. Whether participants are in the room or joining remotely via Zoom or Teams, the experience is the same. Kramer handles signal routing across rooms, while QSC audio processing ensures clean, uniform sound regardless of room size or acoustics.
Testing & Commissioning
All equipment was pre-staged and bench-tested at Allwave’s facility before reaching the site. By the time installation began, signal flows were verified, firmware was updated and configuration was largely complete. On-site time was spent on installation and fine-tuning, not troubleshooting.

Before engaging Allwave, the Mumbai office was running on a setup that wasn’t built for modern hybrid work. Staff were relying on ad-hoc, consumer-grade devices for important leadership calls and they frequently failed at the worst moments. The auditorium had no real AV infrastructure for townhalls or Zoom-based sessions. The reception area had no digital display at all. And every room worked differently, creating an inconsistent experience for staff and extra overhead for the IT team.

Hardware Discontinued Mid-Project
The originally specified compute model was discontinued by the manufacturer mid-project. Allwave quickly identified a compatible alternative, ran full technical validation to confirm it worked with the existing Zoom Rooms environment and updated the bill of materials without pushing the delivery date.
Faulty Equipment on Arrival
A batch of display units and compute devices arrived non-functional straight out of the box. Rather than waiting on standard OEM replacement timelines, Allwave escalated directly with the respective brand teams for fast-track replacements. In the meantime, spare hardware from Allwave’s own inventory was deployed on-site to keep installation moving.
Limited Site Access
The office was undergoing parallel interior fitout work throughout the project period, making access unpredictable. Allwave restructured the installation plan around available windows heavy infrastructure work was scheduled on weekends, device installation and cabling on permitted weekdays. The handover date remained unchanged.
Multi-Room Coordination
Simultaneously commissioning an auditorium Zoom Room, a multi-display meeting room network and a reception signage system required tight sequencing. Allwave used a structured commissioning checklist no room was signed off until audio, video, control and network integration were fully verified end to end.
