Creating a consistent hybrid collaboration experience across more than 25 meeting and training spaces is not simply an AV deployment challenge; it is a design, integration and standardisation exercise.

For Informa’s Mumbai office at R-Square, Chakala, the goal was clear: replicate the organization’s Global workplace AV standards while ensuring flawless day-to-day usability for local teams.

Project Overview

Informa commissioned Symity and Allwave AV Systems to deliver a full-floor audio-visual and unified communications environment at their R-Square office in Chakala, Mumbai. The project covered more than 25 spaces, including meeting rooms, flexi rooms, divisible training and boardrooms, a townhall area, reception zones and technical spaces, aligning the Mumbai office with the organisation’s Global workplace standards.

The objective was to create a consistent Microsoft Teams Rooms experience across all rooms. Colleagues benefit from a unified interface, predictable workflows and reliable performance for hybrid meetings, training sessions, leadership discussions and townhall events.

The deployment required coordinated AV infrastructure planning, rack and cable management and integration with architectural and MEP elements. Divisible spaces featured automated combine/split functionality, with design validation conducted in collaboration with Symity’s Global consultant team.

The result is a scalable, standardised collaboration ecosystem that enhances user adoption, simplifies IT management and ensures long-term operational reliability across the workplace.

Solution Designed by Allwave AV Systems:

Allwave AV Systems designed a standardised audio-visual and unified communications solution that ensured a consistent user experience across different room types while allowing easy scalability.

A Microsoft Teams Rooms-centric architecture was implemented to ensure native integration with the client’s collaboration ecosystem. Each room was designed around predictable workflows: join meetings, present content, control audio/video and manage calls through a touch interface.

Divisible training rooms and boardrooms were engineered with automated logic. When partitions are opened or closed, the system dynamically adapts camera behaviour, microphone coverage, speaker routing and display configuration. This eliminated the need for manual intervention and reduced the risk of incorrect room states.

To support reliable hardware deployment, structural reinforcements using 18mm plywood backing were installed behind display walls. High-level and low-level containment pathways were planned to maintain clean cable routing, future serviceability, and aesthetic alignment with the interior design.

Ceiling array microphones and distributed speakers were selected to provide even audio coverage, clear voice pickup and minimal visual intrusion. Intelligent cameras and PTZ systems ensured proper framing for both small meetings and combined-room scenarios.

Technology Stack

Displays & Mounting

Sony BZ Series displays were deployed in 55-98″ configurations, mounted using Chief pop-out kits to simplify maintenance access.

Video Conferencing & Collaboration

Yealink Microsoft Teams Room solutions, including SmartVision 40, UVC86 PTZ cameras and MTR kits (MCore, MTouch, AVHub), formed the backbone of the video conferencing experience.

Audio Processing & Distribution

Q-SYS Core 24F DSP with QIO ML devices managed audio routing, processing and integration across microphones and speaker systems. NL Series speakers and soundbars were deployed based on room acoustics.

Microphones

Shure MXA710 and MXA920 ceiling array microphones provided beamforming voice capture and adaptive coverage for both fixed and divisible spaces.y and ease of use making it ideal for corporate training, executive townhalls and hybrid collaboration events.

Business Challenge:

A full-floor AV deployment was required across more than 25 collaboration spaces, including training rooms, boardrooms, meeting rooms, flexi rooms, townhall areas and reception zones. Delivering a consistent AV and unified communications experience across such a diverse set of spaces required careful planning and system standardisation.

A key complexity involved the implementation of divisible training rooms and boardrooms. These spaces required reliable combine/split functionality, ensuring that audio, video and control systems automatically adapted based on room configuration.

Additionally, the AV systems had to strictly comply with global standards defined by the UK consultant team, Symity. This demanded precise design interpretation, documentation alignment and validation coordination between international stakeholders and local execution teams.

Further technical considerations included structural reinforcement for display mounting, detailed cable containment planning, elevation accuracy, acoustic performance and maintaining a uniform Microsoft Teams Rooms experience across all room categories.

Results & Impact

The deployed AV and unified communications environment improved both colleague experience and operational efficiency. Colleagues now benefit from a consistent Microsoft Teams Rooms interface across all spaces, reducing meeting delays and simplifying room usage. Divisible rooms transition seamlessly between configurations, enabling flexible use for training sessions, executive meetings and town hall discussions.

For IT and facilities teams, standardized AV systems, organized cable management and service-friendly mounting have simplified support, maintenance and long-term manageability. The workspace now reliably supports hybrid collaboration without requiring complex user intervention.
